Parking and loading
Confirm where equipment can be unloaded, whether a vehicle can remain nearby and if loading bays have restricted times.
Collect the right venue information before requesting a quote so access, equipment and setup requirements can be confirmed without guesswork.
The venue determines travel, access, setup time, equipment and sound restrictions. Send the exact venue rather than only the town or area, even if the booking is still provisional.
Where possible, also provide the name or email address of the venue contact who can confirm practical details. Information from the venue is more reliable than assumptions based on photographs or a previous event.
Confirm where equipment can be unloaded, whether a vehicle can remain nearby and if loading bays have restricted times.
State whether the room is upstairs or downstairs, the lift size and how far equipment must be carried from the vehicle.
Provide the earliest room-access time, when guests arrive and any fixed deadline for removing equipment after the event.
A practical contact should be available to answer questions about power, sound restrictions, installed equipment and access.
The booth, speakers and floor lighting need a level, dry area that does not block fire exits, doors, serving routes or guest walkways.
Do not rely on a table being available unless the agreed setup specifically needs one. Send a room photograph or floor plan when the available area is tight.
The venue should provide safe, accessible power near the performance area and explain any electrical rules that apply to visiting suppliers.
A sound limiter can reduce the practical volume or cut power if a threshold is exceeded. A venue curfew may also require music to stop earlier than the room-closing time.
No payment is taken from the enquiry form. Availability, requirements and price are agreed first.
