DJ BOOKING TERMS

1. Booking and the 30-minute hold

Submitting an enquiry does not reserve a date. For an eligible fixed-price online booking, pressing Book now creates a temporary 30-minute hold while payment is completed. The date is only secured when the required £50 deposit or the full booking amount has been successfully received and confirmed.

If the hold expires before payment is confirmed, the date becomes available to other customers. The unpaid booking details may be retained securely until the event so the customer can use a recovery link instead of completing the form again. A recovery link does not reserve the date: availability is checked again before a new 30-minute hold is created. If a payment is received after an expired or replaced hold and cannot safely be applied to the booking, it will be reviewed and, where appropriate, refunded.

2. £50 booking deposit and remaining balance

A £50 non-refundable booking deposit is required for each event and is deducted from that event's agreed total. Customers may pay the deposit or the full amount when securing an eligible booking. Any remaining balance can be paid through the secure booking page before the event and must be paid no later than the start of the event, before the DJ performance begins.

For a multiple booking, each event has its own £50 deposit and agreed total even where the deposits or full totals are paid together through one checkout.

3. Prices, venue postcode and travel

The booking form uses the selected event type, attendance, timings, equipment and venue postcode to calculate a fixed price where automatic pricing is available. A venue name and valid postcode are required for online booking so the route and travel charge can be checked.

For both Aidy Smith and Audio Demon fixed-price bookings, travel is calculated from the Bradford base using estimated one-way road mileage:

• The first 5 one-way road miles are included.
• After the first 5 miles, travel is charged at £2.50 per additional one-way road mile.
• The same £2.50 per-mile rate applies beyond the West Yorkshire boundary; there is no separate boundary surcharge.

The travel amount shown in the final booking price is the amount included in the agreed total. If the postcode or driving route cannot be verified automatically, online fixed-price booking may be unavailable until the travel charge is confirmed manually.

4. Fixed-price and custom-quote bookings

Only bookings that meet the fixed-price rules shown on the booking form can be secured automatically online. Larger events, certain venue requirements and other bookings marked as a custom quote must be discussed and agreed separately. Any bespoke written quote may include additional requirements specific to the venue, event or production.

Where applicable, the online price also includes the current fixed booking rules shown before checkout: Wedding bookings carry a £100 wedding supplement; fixed-price bookings with less than 7 days’ notice carry a £50 short-notice fee; and Christmas Eve, Christmas Day, Boxing Day, New Year’s Eve, New Year’s Day and official England & Wales bank holidays carry a £100 premium-date surcharge. If an unpaid 30-minute hold expires and the booking is later recovered, the price is refreshed before a new hold is created. This means a booking originally created more than 7 days before the event will automatically gain the £50 short-notice fee if it is recovered for payment after it has moved inside the 7-day window. Any valid discount or referral credit is recalculated against that current total before payment.

5. Cancellations and refunds

The £50 booking deposit is non-refundable. Where more than the deposit has been paid, the standard cancellation calculation is based on when the cancellation request is submitted before the event start time:

• 31 days or more: the £50 deposit is retained; other eligible payments are refundable.
• 15–30 days: the £50 deposit plus 25% of the amount paid above the deposit is retained.
• 8–14 days: the £50 deposit plus 50% of the amount paid above the deposit is retained.
• 7 days or less: the amount already paid is normally retained.

A cancellation request submitted through the secure booking page records the applicable timing band at the time of submission and is then reviewed. The final refund can be higher where the actual loss is lower, for example if the date is successfully rebooked. Approved online-payment refunds are normally returned through Square to the original payment method where the booking record supports an automatic refund.

6. Changes to a secured booking

Eligible fixed-price bookings can use the secure booking page to make supported changes until 24 hours before the event. Online customer changes do not include the event date, event type, attendance or venue; those changes must be discussed directly because they may affect availability, travel or package suitability.

Where an eligible online change increases the price, the remaining balance is recalculated. A change that would reduce the total below the amount already paid requires direct contact so any refund or price adjustment can be reviewed.

7. Venue information, access and customer responsibilities

The customer must provide accurate information about the venue, postcode, access, parking, stairs, performance space, power, sound restrictions, curfews, timings and any equipment supplied by the venue. Materially incorrect or changed information may affect the equipment required, travel charge, agreed price or whether the booking can proceed safely.

8. Equipment

The equipment supplied is based on the package and options confirmed for the booking. Depending on the event this can include professional PA speakers, Kali Audio WS-12 subwoofers, DJ lighting, a DJ booth, microphone, CDJs and mixer. Where venue equipment is selected, the venue is responsible for providing suitable, working equipment and appropriate connections.

For larger or custom-production events, final sound and equipment requirements may need to be agreed separately after the venue and expected attendance have been reviewed.

9. Performance times and overtime

The agreed start and finish times form part of the booking. Fixed-price Aidy Smith packages include the performance duration stated on the booking form, with additional eligible time charged at the displayed overtime rate. Audio Demon packages use their own included performance duration and displayed overtime rate. Any extension on the night is subject to availability, venue restrictions and payment of the applicable additional charge.

10. Promotions and referral codes

Discount and referral codes are subject to the eligibility rules applied by the booking system at the time of booking. A code does not reserve a date and cannot override a custom-quote requirement, venue restriction or other booking condition. Any valid discount or referral credit is shown in the agreed booking total before payment.
